Documents Required for Government Job Applications in India

There is no single document pack or universal photo size for every government recruitment. The useful approach is to maintain a secure master folder, then create a notice-specific copy that follows the current recruiter’s formats and validity dates.

Separate documents into three recruitment stages

Many misleading checklists mix online-form uploads, examination-day identification and final document verification. Keep them separate because the recruiter may ask for different material at each stage.

Create a secure master document folder

A master folder reduces repeated scanning, but never upload the entire folder. Copy only the required files into a subfolder named with the recruiter, advertisement number and post code.

Identity and personal records

  • Class 10/matriculation certificate or the notice’s named date-of-birth record
  • Accepted government photo identity documents
  • Consistent spelling of name and parent/guardian details
  • Active personal email and mobile number

Education records

  • Marksheets and certificates for the required class, diploma or degree
  • Subject, percentage or grade-conversion proof where required
  • Equivalence or recognition order when the notice asks for it
  • Professional registration and validity proof for regulated roles

Employment records

  • Experience certificates with dates, role and issuing organisation
  • No-objection certificate for serving employees when applicable
  • Service or discharge records for an ex-serviceman claim
  • Employer certification in the form prescribed by the notice

Conditional records

  • SC/ST, OBC-NCL or EWS certificate for the claimed recruitment category
  • PwBD certificate in the required format
  • Domicile, language, sports or other quota proof where the post requires it
  • Name-change or other supporting legal record where applicable

Names, dates and document numbers should be readable and consistent with the application. If two records differ, investigate the correction or declaration procedure before submitting instead of choosing whichever version is convenient.

Check category and age-relaxation documents carefully

Selecting a category is a claim that may be examined later. The certificate must support the exact benefit claimed under the applicable recruitment rules.

  • Check whether the vacancy is reserved for the category or whether only age/fee relaxation is available.
  • Check whether a central or state list applies and whether non-creamy-layer status is required.
  • Use the prescribed certificate format and competent issuing authority.
  • Record the certificate date and the notification’s required validity or financial-year condition.
  • Read how multiple relaxations are combined—or not combined—rather than adding years yourself.

The SSC NER common-mistakes guidance specifically warns candidates about invalid or outdated certificates. The exact remedy remains notice-specific.

Photograph and signature: use the current portal’s rules

Do not follow a blog table claiming one “standard” kilobyte range for every government form. Recruiters can require a scanned photograph, a live camera capture, a recent dated photo, a signature with fixed dimensions, or other identity media.

For example, the SSC Phase XIV/2026 notice describes a live-photograph flow and warns that blurred signatures can be rejected. That current SSC rule should not be copied into an unrelated UPSC, railway, bank or state-commission form.

For each application

  1. Copy the displayed file type, size, dimension and capture instructions into your worksheet.
  2. Create a new notice-specific file rather than overwriting your master image.
  3. Upload and inspect the portal preview at normal size.
  4. Replace any cropped, rotated, blurred, miniature or incorrect-person image before final submission.

Documents that may be post- or notice-specific

Specialised recruitments may ask for material that a generic list cannot predict. Examples include:

  • Professional council registration or licence
  • Experience in a named field, pay level or post-qualification period
  • Published work, research, teaching or project records
  • Equivalence certification for a differently titled degree
  • Domicile, language, physical-standard or driving-licence evidence
  • No-objection, vigilance or cadre documents for serving employees
  • Scribe, benchmark-disability or examination-accommodation forms

Look for these in the individual post entry, notes immediately below its table, general instructions and annexures. A proof mentioned at verification may still need to exist by an earlier crucial date.

Records to save after applying

  • Final submitted application or acknowledgement PDF
  • Application/registration number and the exact post code
  • Portal payment status, receipt and transaction reference where a fee applies
  • The version of the official notification and corrigenda used
  • Copies of the files actually uploaded—not merely later edited versions
  • Official help-desk correspondence or correction acknowledgement

Keep passwords and recovery codes outside this folder. The application record should prove what you submitted without exposing everything needed to take over the account.

Protect sensitive application documents

Government-job files may contain identity numbers, addresses, signatures and category information. Use local or trusted storage with device security and backups. Avoid sending an entire document collection over public chat when only one file is required.

  • Prefer offline image/PDF tools for sensitive files; unknown “free compression” sites receive a copy of whatever you upload.
  • Remove files and browser downloads from cybercafe or shared computers, sign out, and change a password if someone else observed it.
  • Do not email passwords, OTPs or full account credentials to a supposed agent or help desk.
  • Upload only through the application address reached from the official notification.

Questions and answers

Are Aadhaar and every certificate uploaded with every application?

No. Required uploads differ by recruiter and stage. Upload only what the official portal requests, and carry the documents listed for examination or verification when called.

Is there one correct photo and signature size for all government forms?

No. File type, size, dimensions, background and live-photo rules can change between recruiters and even between notices. Prepare the files from the specifications displayed for the current application.

Can a state OBC certificate always support a central OBC claim?

Do not assume so. The applicable list, non-creamy-layer status, certificate format and validity date must match the recruitment notice. Read its reservation section before selecting a category.

Should I upload documents to a resizing or compression website?

Avoid uploading identity and category documents to unknown services. Prefer offline tools or trusted services, and remove temporary copies from shared devices after confirming your application records are safely stored.
